MedTrialMatch ("we," "us," "our") operates the medtrialmatch.com website, a free service that connects people interested in clinical research with IRB-approved research studies enrolling near them. This policy explains what information we collect, how we use it, who we share it with, and the choices you have.

By using our site or submitting a form, you agree to this policy. If you do not agree, please do not use our services.

2. Information We Collect

Information you provide: when you use our matching form we collect the details you enter, such as your name, email address, phone number, ZIP code, date of birth, and your answers to eligibility questions — including the health condition areas you tell us you are interested in.

Information collected automatically: like most websites, we collect device and usage information (IP address, browser type, pages viewed, referring links) and campaign attribution parameters that tell us which advertisement or partner referred you. See our Cookie Policy for details.

Consent records: to document your consent to be contacted, we capture the time of your submission, the consent language you agreed to, and independent consent-certification tokens (for example, TrustedForm) that record how the form was completed.

3. A Note About Health-Related Information

The condition areas and eligibility answers you provide are used solely to match you with relevant clinical research opportunities and to connect you with the research sites you choose to pursue.

MedTrialMatch is a matching service, not a healthcare provider, and we are not a "covered entity" under HIPAA. Once you connect with a research site, the information you share with that site is governed by its own privacy practices and the study's IRB-approved consent process.

4. How We Use Your Information

We use your information to: match you with clinical studies enrolling in your area; connect you with the research sites you select; contact you about research opportunities consistent with the consent you gave; respond to your questions; improve our matching service; and comply with legal obligations.

We do not use your health-related answers for advertising profiles, and we never sell your personal information.

5. How We Share Information

Research sites: your details are shared with the specific IRB-approved research sites relevant to your submission so they can contact you about study eligibility — and, where you choose specific studies, only with those sites.

Service providers: we use vendors that help us operate the service (hosting, communications delivery, consent certification, analytics). They may process your information only to provide services to us.

Legal: we may disclose information when required by law, subpoena, or to protect our rights, users, or the public.

We never sell your personal information, and mobile opt-in data is never sold or shared with third parties for their own marketing purposes.

6. Calls, Email & Text Messaging (TCPA)

With your consent, MedTrialMatch and its partner research sites may contact you by phone, email, or SMS about clinical research opportunities that may be a fit — even if your number is on a Do Not Call list. Consent is not a condition of participation in any study.

Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. Opting out of texts does not affect other ways we may contact you unless you tell us otherwise.

7. Cookies & Tracking

We use cookies and similar technologies for essential site functions, analytics, and campaign attribution. Our Cookie Policy explains what we use and how to manage it.

8. Data Security & Retention

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we handle, including encryption in transit. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

We retain personal information for as long as needed to provide the service, document consent as required by law and carrier rules, and meet our legal obligations — after which it is deleted or de-identified.
